Job Summary
The Referral Coordinator will be primarily responsible for the tracking of outstanding patient referrals and follow up calls to patients to secure an appointment, the maintaining of referral folders including archiving, entry into patient accounts, and providing direct communication with referring provider offices on status on pending referral requests. This position is also a direct phone support team member to the general scheduling team aiding general phone scheduling during high peak calling times.
Primary Responsibilities:
- Monitors referral folders.
- Ensures that outside referrals have needed authorization numbers, CPT specifics, dates of service and number of visits if applicable.
- Communicates directly with referring physicians’ offices to advise if unable to schedule, declined to schedule.
- Responsible for all incoming calls and/or faxes from referring physician offices with inquiries on patient appointment status.
- Communicates directly to Medical Records department if patient notes, consult letters are requested from referring physician’s office.
- Creates patient appointments following all scheduling, demographic and provider protocols.
- Confirms Patient Portal set up and provides instruction if needed.
- Directs patients to our website for new patient forms, prep sheets and general patient education.
- Provides support to general scheduling team when needed including answering of incoming calls, general scheduling and transferring of calls via our multi line phone system.
- Complies with all regulatory requirements such as OSHA, HIPAA, Compliance and other requirements that may be mandated.

- One-year certificate from college or technical school; or 1 year of related experience and/or training; or equivalent combination of education and experience.
- Ability to provide excellent customer service.

Work Environment:
